How to pilot delivery software before switching dispatch

Include a late order, failed stop and driver needing help in the demonstration. Those cases reveal more than watching a clean route appear on a map.

Set a baseline

Select one manageable route or operating group. Record stops, handling time, reliable distance information and reasons for intervention. Describe the delivery promise, including when staff must contact a recipient rather than assume a revised arrival is acceptable. Define the normal handover between dispatcher and driver.

Use synthetic records during setup. Before a live pilot, confirm handling of addresses and driver information, who can access them and required retention. Name the responsible dispatcher and a backup who can take over without needing the original software implementer.

Prepare a test manifest

Include a normal stop, incomplete address, delivery window, order added after departure and failed attempt. Add capacity constraints where relevant. Define the expected response for each case before entering it. Using predetermined checks prevents a demonstration from moving the goalposts when something fails.

Onfleet’s optimization documentation discusses constraints beyond distance, including schedules and service time. Ask the vendor to demonstrate your specific constraints in the quoted plan. If evaluating another platform, use the same manifest so meaningful differences remain visible and staff can compare handling effort.

Test recovery

Follow an order from intake through assignment, acceptance, arrival and completion. Change an instruction and confirm the driver sees it. Check customer-visible updates and who may correct a mistaken status. Avoid sending pilot notifications to unrelated customers or treating a simulated order as a real commitment.

Simulate lost connectivity, an unavailable driver or stopped integration. Record how staff recognize the interruption and activate the manual route. Confirm completed stops reconcile afterward so recovery does not duplicate orders or leave an incomplete record looking finished. Ask staff to follow the instructions without help.

Decide from evidence

Review exceptions with the people who handled them. Compare dispatch effort, record accuracy and customer-update work with the baseline. Separate product capabilities from changes in operating practice. An improved route does not by itself prove a particular financial return.

Before expansion, agree ownership, support, access control, billing assumptions and rollback triggers. Keep a short operating checklist. Send DeliveryRite a description of the dispatch problem and volume through the existing enquiry form so evaluation starts with your actual operation and a bounded scope.

Validate the billing sample

Reconcile the pilot manifest against the vendor’s proposed usage calculation. Identify whether each pickup, attempt and completed stop contributes to the quoted unit. Keep that written example with the evaluation so finance and operations use the same assumptions when estimating a normal month and peak demand.
