Delivery dispatch software: a practical buying checklist

Choose a platform around the delivery promise, driver handoff and evidence needed when a stop fails. Route planning is one part of that process.

Describe the operation

Record normal and peak stops, pickup locations, service areas, delivery windows and driver availability. Separate planned routes from orders arriving during the day. A fixed morning manifest is not a sufficient test when dispatchers regularly reshuffle urgent work after departure.

List actual constraints: capacity, loading time, recipient access, failed attempts and returns. Average travel time alone misses these conditions. Name the person authorized to change a delivery promise when a route falls behind and include that decision in the operating brief.

Compare workflow coverage

Onfleet positions its software around last-mile routing and dispatch. Its official optimization documentation describes inputs including locations, time windows, schedules, capacity and service time. Use sample constraints from your operation to check the available inputs in the plan being quoted.

Shipday is another candidate for merchant delivery workflows. Check current product and plan information rather than assuming tools have identical capabilities. Ask each candidate to demonstrate intake, assignment, driver acceptance, customer updates, completion and failure in one session using the same sample manifest.

Inspect the handoffs

Have a driver review the information visible at each stop. Confirm how revised addresses, delivery notes and status updates reach the dispatcher. Test limited connectivity and agree what the driver does when the application cannot complete the normal flow.

Define the need for proof of delivery before choosing a capture method. Confirm access, retention and export for the evidence required. A completion record should help the team answering a customer question, with a clear route for investigating errors rather than relying on a status alone.

Price the operating model

Request the billing unit and treatment of pickups, failed attempts, messaging, locations, integrations and overages. Compare normal and peak months. Include onboarding, staff training and maintenance in the estimate. A lower headline fee does not establish a lower delivered operating cost.

Send DeliveryRite the delivery type, approximate volume and troublesome handoff through its existing form. A scoped review can establish a useful evaluation; it does not book a courier or confirm delivery capacity. Keep a documented manual dispatch route during any pilot or migration.

Check the exit route

Ask for a sample export covering orders, completion evidence and exceptions. Confirm which records remain accessible after a subscription change. A usable exit plan matters even when you expect a long relationship, because the dispatcher must preserve enough context to answer later customer questions.
